Timeless Sashes is committed to keeping your information secure and managing it in accordance with our legal responsibilities under the privacy and data protection laws where we operate. This Privacy Policy provides information about how we process your personal information. You don’t need to do anything, but please read the information below, as it explains what personal information we hold about you, how we may use it and what your rights are.

Timeless Sashes Ltd. provides sash window renovation and repairs across Hampshire.

In carrying out our day-to-day activities we process and store personal information (personal data) relating to our customers and we adhere to the requirements of the General Data Protection Regulations (GDPR) 2018. We take our responsibilities under the GDPR seriously and we ensure that the personal information we obtain is held, used, transferred and otherwise processed in accordance with those regulations and all other applicable data protection laws and regulations.

Personal data means any information relating to an individual who can be directly or indirectly identified by that data, such as name, address, email address, phone numbers, participation on our Instagram page (i.e. by allowing us to use images of sash window renovations or repairs undertaken at your property). This list is not comprehensive, but gives you an idea of what personal data we may gather about you. We collect information about our customers only if there is a clear reason for doing so as set out below.

By visiting our website or Instagram page, you agree to your personal information being used and disclosed in the manner set out in this Policy. When you visit our website, as is the case with most websites, certain limited information (such as your browser type and IP address) will be collected by us automatically. If you share images with us or allow us to take pictures of work undertaken at your property, we may ask you if we can share this information on our website or Instagram page. If you only read or download information from our website or visit our Instagram page, we may gather information about this usage, such as which pages or posts are most popular. This information helps us to improve our service and the information we provide to you, and is aggregated and anonymised, meaning that it will not identify you as an individual.

Your information may also be used for administration purposes – for example, to contact you about upcoming work you have scheduled to take place at your property or to remind you that your sash windows may need re-painting (it is recommended that sash windows are re-painted every 5 years for maintenance). We also process your information for legal purposes – for example, to prevent fraud (i.e. money laundering). We work closely with a small number of trusted sub-contractors with whom we need to share personal information to help us operate our service. These include sub-contractors who provide supplementary services to us i.e. scaffolding providers, painters, and law enforcement bodies in order to comply with any legal obligation or court order.

We will only share information with other organisations where we believe it is necessary for a legitimate reason connected with the services we offer. Where this information is shared it will be kept to a minimum and only for the purposes for which it is required i.e. for attendance at a work site (address/location) or for sub-contractors to contact you when we have completed our part of the work carried out at your property (email address/phone numbers).

We keep records for as long as required to operate our service in accordance with legal, tax and accounting requirements, and for no longer than is necessary for the purpose it was obtained for. Where your information is no longer required, we will ensure that it is disposed of in a secure manner.

We use analytics tools (such as Google Analytics) on our website to provide our services, identify service issues to us, and improve our services. These tools may be provided by third-party service providers and may include the collection and tracking of certain data and information regarding the characteristics and activities of visitors to our website. This data is aggregated and anonymised and does not identify people as individuals.

We may update the terms of this policy at any time, so please do check it from time to time. We will notify you about significant changes in the way we treat personal information by sending a notice to the primary email address you have provided to us, or by placing a prominent notice on our website. By continuing to use our website you will be deemed to have accepted such changes. We will review this policy if there is a change in the law that requires us to do so.

Our aim is for all information that we hold about you to be accurate and, where necessary, kept up to date. If you think any of the personal information we hold about you is inaccurate, you may request that it is corrected. You also have the right to request copies of the personal information we hold about you and details of how we use that information. You also have a right, in certain circumstances, to require us to stop processing your personal information. In relation to all of these rights, please email us at timeless.sashes@gmail.com. Please note that we may, where permitted under applicable law, charge a small administrative fee and/or request proof of identity. We will respond to your requests within all applicable timeframes
